Client Intake Specialist

Position Summary

The Client Intake Specialist plays a key role in the growth and success of our firm. This position is responsible for handling all incoming inquiries, gathering essential information from potential clients, scheduling consultations, and ensuring each client’s first experience with the firm is positive and informative.

Key Responsibilities

  • Answer incoming calls and respond to online inquiries with warmth and professionalism

  • Qualify potential clients through structured intake questions

  • Accurately enter client information into CRM and case management systems

  • Schedule appointments and coordinate with attorneys and staff

  • Follow up with leads and maintain active communication throughout the intake process

  • Provide general support to prospective clients, helping them understand the services we offer

  • Maintain confidentiality and adhere to ethical standards of client interaction

Qualifications

  • Previous experience in a law firm, medical office, or client service role preferred

  • Strong communication and interpersonal skills

  • Highly organized, detail-oriented, and comfortable working in a fast-paced environment

  • Proficiency with CRM systems and basic office software (Word, Outlook, Excel)

  • Ability to handle sensitive conversations with empathy and professionalism

  • High school diploma or equivalent required; college degree preferred

Paralegal

Position Summary

We are seeking a detail-oriented and experienced Paralegal to assist attorneys in preparing and managing estate planning, trust administration, probate, and elder law matters. The ideal candidate will be organized, client-focused, and committed to delivering excellent legal service.

Key Responsibilities

  • Draft and prepare legal documents including wills, trusts, powers of attorney, deeds, probate pleadings, and court filings

  • Manage client files, calendars, and deadlines with accuracy and confidentiality

  • Support attorneys in probate and trust administration, including asset inventories, distributions, and court petitions

  • Conduct legal and factual research related to estate and elder law matters

  • Communicate professionally with clients, courts, and third parties

  • Assist with Medicaid (MaineCare) applications and documentation

  • Maintain internal systems, ensuring all records are up to date and properly organized

  • Participate in document signings and provide notary services, if certified

Qualifications

  • 2+ years of experience as a paralegal in estate planning, probate, or elder law preferred

  • Strong knowledge of Maine probate procedures and court systems

  • Proficiency with Microsoft Office and legal case management software (e.g., Clio, MyCase, or similar)

  • Excellent organizational and time management skills

  • Strong written and verbal communication abilities

  • Ability to work independently and collaboratively

  • Paralegal certification or equivalent experience required

  • Notary public commission a plus (or willingness to obtain)

  • Lead client engagements in estate planning, probate, trust administration, Medicaid planning, and related matters

  • Draft, review, and oversee legal documents including wills, trusts, powers of attorney, and asset protection strategies

  • Provide legal guidance to high-net-worth individuals, blended families, and business owners

  • Supervise junior attorneys and paralegals, offering mentorship and quality control

  • Represent clients in probate courts and administrative proceedings when necessary

  • Contribute to firm strategy, process improvement, and client service initiatives

  • Maintain compliance with ethical and legal standards while fostering client trust and satisfaction

  • Build and maintain relationships with clients, financial advisors, and community partners

Qualifications

  • J.D. from an accredited law school and active license to practice law in Maine (or willingness to gain admission)

  • 7+ years of experience in estate planning, probate, elder law, or a closely related practice area

  • Demonstrated expertise in trust-based planning, Medicaid qualification, and tax-conscious estate strategies

  • Strong leadership, mentorship, and team collaboration skills

  • Excellent drafting, research, and oral advocacy abilities

  • Ability to manage multiple complex cases with professionalism and efficiency
