Client Intake Specialist
Position Summary
The Client Intake Specialist plays a key role in the growth and success of our firm. This position is responsible for handling all incoming inquiries, gathering essential information from potential clients, scheduling consultations, and ensuring each client’s first experience with the firm is positive and informative.
Key Responsibilities

Answer incoming calls and respond to online inquiries with warmth and professionalism

Qualify potential clients through structured intake questions

Accurately enter client information into CRM and case management systems

Schedule appointments and coordinate with attorneys and staff

Follow up with leads and maintain active communication throughout the intake process

Provide general support to prospective clients, helping them understand the services we offer

Maintain confidentiality and adhere to ethical standards of client interaction
Qualifications

Previous experience in a law firm, medical office, or client service role preferred

Strong communication and interpersonal skills

Highly organized, detail-oriented, and comfortable working in a fast-paced environment

Proficiency with CRM systems and basic office software (Word, Outlook, Excel)

Ability to handle sensitive conversations with empathy and professionalism

High school diploma or equivalent required; college degree preferred
